Mullane & Lindsay Solicitors, founded in 1976, is a Hunter based law firm; with offices both in the heart of Newcastle’s CBD and Tea Gardens. It is one of the leading law firms in the Hunter and Maitland. Their lawyers have the right mix of experience and legal expertise to provide quality and ‘value for money' services in many areas of law.

Mullane & Lindsay used to use Olympus Dictaphones and docking stations, and Olympus dictation and transcriber software. This worked well while solicitors were working in the firm and sometimes away from the office, but it became cumbersome to transfer dictations via email that then needed to be manually imported into the transcription software.

After a review of their overall business needs, Mullane & Lindsay realised that they needed a new Dictation solution that would give their practice the ability to Dictate, from anywhere at any time with a fast turnaround. This is where the Olympus solution fell short.

Providing meaningful support through simplifying their document transfer via the SpeechLive workflow

After discussing their needs with a ServiceScaler consultant, the consultant proposed the introduction of SpeechLive’s Digital Dictation solution.

General Manager at Mullane & Lindsay Solictors, Michelle Zenere said, “With any technology that we introduce to the firm, there has to be a clear reason about what it is we actually need and why. The main objective for our firm has always been to simplify the way solicitors produce documentation or instructions and remove any administrative overhead.

“We do this through expert administration support as well as the technology that supports all of our people. This means ensuring that our solicitors have a range of options that suit them and the way they most productively do their work.”

ServiceScaler proposed the implementation of SpeechLive’s solution because it would give Mullane & Lindsay Solicitors the ability to dictate anywhere at any time from their mobile phones. Their dictations could be transferred directly to cloud-based storage, ready for transcription in the office. The SpeechLive solution would also allow Mullane & Lindsay to leverage their prior investment in dictaphones as these could be ‘linked’ to SpeechLive. This option also acknowledged that Mullane & Lindsay’s personnel have a range of respective skills and capabilities, and gave individuals the option choose the solution that met their needs best.

Offering full transparency of solution from trial, purchase and post purchase stages to our customers.

Mullane & Lindsay has adopted Kaizen, a continuous quality improvement practice in their firm. This means their approach is to trial solutions first with a small group to test, revise, tweak and then convert into working procedures for wider use. Only then do they roll out the final, tested solution to the firm.

“This implementation process has worked successfully for both ServiceScaler and us and has become the standard project implementation practice for Mullane & Lindsay. It ensures a far smoother, business-focussed implementation with fewer errors or post-implementation hassles,” said Michelle.

Following the implementation of SpeechLive, many solicitors at Mullane & Lindsay have said they’ve found that it is far easier to use than their previous solution. This is because the dashboard interface makes it simple to adjust workflows, add new users and determine the flow of work. It is also easy for them to use on their mobile devices.

Other solicitors in the firm still prefer to use Dictaphones. But the team at Mullane & Lindsay say that having the ability to use the existing Dictaphones in conjunction with SpeechLive, without using disparate technologies, ensures that their technology framework is still being leveraged. It also ensures that individual solicitors' solution of choice is best suited to their unique needs, thereby maximising personal productivity.
